Ordering WS2812B, WS2813 or WS2815 LEDs: A B2B RFQ Checklist

An enquiry for “WS2812B LEDs” or “WS2815 for a project” is a useful starting point, but it may not identify a complete orderable component. For an engineering or purchasing team, the next step is to specify the exact part, package and revision, then connect those details to the intended application.

This checklist focuses on preparing a component RFQ. It does not assign one set of electrical specifications to every product in a family, and it does not establish that one part is a direct replacement for another. Use the datasheet for the exact proposed item when making that decision.

State whether you need a component or an assembled product

First say whether the enquiry concerns individual addressable LEDs, a separate LED driver IC, a finished strip or a board assembly. These are different purchasing requests. A quantity of components is also different from a length of strip or a number of assembled modules.

The existing digital LED / RGBIC category and LED driver IC category provide separate routes for these enquiries. If you need a finished strip, use the addressable LED strip quotation checklist and state the strip configuration rather than treating a component name as a complete strip specification.

Give the full part number, including the revision

Copy the full manufacturer part number from the approved bill of materials or the design documentation. Include all suffixes and revision identifiers. If you have only a family name, say so explicitly and ask what information is needed to identify the correct candidate.

Where the existing product is being reordered, provide a traceable reference from the earlier purchase, the approved datasheet revision or the component label. A photograph may help clarify identification, but should not replace a full written part reference when the design already specifies one.

Keep exact-match requests separate from alternative-part requests. If no substitution is permitted, state that clearly. If alternatives may be reviewed, ask for the proposed full part number and supporting datasheet before treating it as acceptable.

Specify the package and assembly requirements

Name the required package and include a drawing or approved document reference when necessary. The board footprint, component orientation and available assembly space are reasons to verify the package drawing for the exact part rather than rely only on a broad package label.

Tell the supplier whether the enquiry is for engineering samples, a pilot build or repeat production. Ask about the proposed packing format, identification and the handling documentation that applies to the specific device. Do not apply a generic storage, baking or reflow instruction to every LED family.

If a package or revision is not yet selected, label it as undecided. That gives the sales and technical teams a clear question to resolve, instead of creating an apparent specification that your engineering team has not approved.

Describe the application without assuming compatibility

Explain what the LEDs will do in the product and identify the relevant electrical and control requirements from your design. Useful context can include the system supply, required colour channels, control interface, intended pixel count and operating environment.

For a replacement enquiry, identify the existing part and the controller or firmware requirements that must be preserved. Any proposed alternative should be checked for the relevant pin assignment, timing, electrical limits, optical requirements and board fit. A similar family name is not evidence of a drop-in replacement.

Keep design targets distinct from confirmed product specifications. For example, a desired operating condition is something the proposed device must be evaluated against; it is not a specification that should be copied into a supplier’s catalogue description without verification.

Make quantity and timing meaningful

List the quantity and its unit: individual components, reels, assembled boards or another clearly defined item. If the project has several stages, show the sample quantity, pilot quantity and expected repeat-order requirement separately. Describe any forecast as an estimate, not a committed purchase.

Provide the destination and requested delivery date. Ask the supplier to confirm availability, minimum order quantity, packing quantities and the applicable lead time in the quotation. None of those conditions should be inferred from a previous catalogue, another package or another revision.

Use a short RFQ template

  • Product type: individual LED, driver IC, strip or assembly.
  • Full manufacturer part number and revision, or an explicit request for identification support.
  • Package and any approved drawing or datasheet reference.
  • Quantity, unit and project stage.
  • Application and the design requirements that must be met.
  • Whether alternative parts may be proposed for engineering review.
  • Destination and requested delivery date.
  • Any required packing, traceability or documentation details.

Common purchasing questions

Is the family name enough to place an order? It can start a conversation, but the exact orderable part, package and revision should be agreed before purchase.

Can a proposed substitute use the same PCB and firmware? That requires an engineering check against both exact devices and the application. This article does not establish compatibility between models.

Does a component listing prove current stock or authorized-distributor status? No. Ask for the quotation and supporting supply information you require. YF-WIND makes no official distributor claim in this guide.

Send an LED component enquiry

Use the YF-WIND enquiry form to send the full part number, package, quantity, application and required date. If you are still selecting a device, describe the unresolved requirements so candidate parts can be reviewed before an order is confirmed.
